How much flexibility do I actually have
when dealing with a wide variety of assets ranging from vehicles
to machines?
The program tracks five separate groups
of assets. Each group has its own unique set of information fields
as well as its own unique set of maintenance cycles. You get to
create the names for all this yourself.
In addition, the reporting system allows
you a "Key in" on any of the first five information
fields for any of the reports. This means that if you wanted to
see all the vehicle expenses in "Group 1" for the
vehicles assigned to "Department 2", and sort them by
the driver's name, the program will provide just that. You can
also see just a single asset.
How exactly does the maintenance
reminder system work?
The reminder system works with dates or
cycles. Both can be found on the Maintenance Cycle Information
screen.
1) Date
Reminders - The date system deals
with maintenance services that must be scheduled based on time, as
in every three months, once a year, etc. We have you set the cycle
for the service and each time it is performed the program resets
the date for the next due date based on the cycle you have set.
2) Cycle
Reminders - The cycle system deals
with maintenance services that are performed every so many clicks
of a meter, as in miles, hours, meters, feet, inches, etc. The
program compares the meter reading from the last time the service
was performed to the current meter reading, on file, for the
asset. If the difference is greater than the required cycle you
are reminded to perform the service.
How does the program track expenses?
Each asset has its own expense history
file. You may track as many categories of expenses as you wish.
The program will allow you to set up your own categories and the
expense report will break down the expenses, by category, for each
asset. You will know your cost of operating the asset for each
category as well as the total for all categories. In the case of a
motor vehicle you can see your cost per mile, miles per gallon,
etc.
